Industry workflows

Workflow automation for service businesses and industrial operations

Start with administrative work that has a clear trigger, assigned owner and reviewable outcome. AIBCS scopes document routing, escalation and exception reporting; safety-critical decisions and equipment control remain outside these workflows.

Practical starting points

Document Routing

Send incoming documents to the appropriate employee, department, folder, or supported system.

Explore Workflow

Task Escalation

Escalate incomplete work after configured deadlines while checking current task status.

Explore Workflow

End-of-Day Exception Report

Summarize configured failed, overdue, and unresolved work for management at the end of the day.

Potential benefits and confirmed scope

Agreed rules can make follow-up consistent, reduce repeated data handling and make exceptions visible. Benefits depend on your process and implementation; no measured savings or client result is claimed.

Each catalog workflow is offered for scoped implementation after connection checks. It is not evidence that a complete industry platform or every connector is ready. The Business Auditor is a controlled pilot; the broader Business Platform remains in development.

Implementation considerations

Confirm source systems, safety boundaries and assigned responsibilities. These workflows do not control industrial equipment, certify compliance or replace an ERP.

AI is optional for agreed rule-based automation. SMS, telephony, premium APIs and additional formats require separate accounts, permissions, usage terms and qualification. Document Processing currently advertises manual TXT/CSV inputs; PDF/image OCR is outside that confirmed scope.

Check Product Readiness

Before you request implementation

  • Choose one trigger, expected result and responsible person.
  • Identify the source system and who can authorize access.
  • Define duplicate handling, stopping conditions and exception review.
  • Confirm permitted data, retention needs, message consent and acceptance criteria.

Discuss your workflow

A written proposal confirms scope, integrations and the separate implementation fee. Selecting a plan does not authorize a subscription.

A practical starting workflow

Document routing

Route a permitted incoming document to an agreed person or destination; define what happens if the destination is unavailable.

Task escalation

Escalate a task after a verified deadline and notify the accountable person. Keep a human review path for ambiguous status.

Operational reports

Collect agreed unresolved-work signals into a manager report. Validate the source records before treating a report as an operational decision input.

Implementation: from process to accepted workflow

  1. Record the trigger, responsible person, required fields and stopping conditions.
  2. Confirm account ownership, permitted data and supported connections before committing.
  3. Agree the configuration, messages, scope, separate implementation fee and acceptance criteria.
  4. Test duplicate inputs, missing fields, unavailable connections and replies before go-live.
  5. Review results with staff and keep an exception-handling route.

Measure value without promising savings

Record weekly task volume and minutes spent before implementation. Compare those observations with time still spent reviewing and correcting the workflow. Time released is capacity; it is not automatically cash saved or additional revenue.

Hypothetical example: 40 tasks × 5 minutes avoided ÷ 60 = 3.33 hours released weekly, before review time. Multiply by your actual loaded hourly cost, then subtract software, usage, support and maintenance costs. Include implementation costs when calculating payback. This is an illustration, not an AIBCS client result.

Questions before you start

Does the workflow require AI?

Agreed rules can operate with AI off. AI-based classification or generated text requires an enabled provider and separate review of data and usage.

Can it connect to our existing system?

Compatibility depends on your system, permissions and supported interfaces. A catalog entry does not guarantee a native connector. Confirm the exact connection in the written proposal.

What is included in the quote?

Software and implementation are separate. Ask about external accounts, messaging or API usage, hosting, staff orientation, support and customization. Selecting an automation plan does not authorize recurring billing.
